Receptionist/Office Coordinator
This position requires a highly motivated and self-directed individual interested in joining a team of successful financial professionals focused on the presentation of investment opportunities related to the Oil and Gas exploration industry within the US. As part of our growth strategy, we are seeking a Receptionist/Office Coordinator in our San Gabriel Office. The Receptionist/Office Coordinator will oversee all aspects of general office coordination. This individual will provide the staff with administrative support and maintain confidentiality in all aspects of client, staff and company information.
Duties/Responsibilities:
? Meet and greet clients. Be the voice and first impression person of the office.
? Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
? Perform general clerical duties to include, but not limited to, scanning, copying, faxing, and mailing (prepare and ship packages using FedEx).
? Set-up and coordinate meetings and conferences.
? Coordinate US travel arrangements for US staff.
? Order and maintain inventory of office supplies.
? Maintain global office contact list.
? Assist with on-boarding.
? Order business cards.
? Expense report preparation.
? Work with marketing on projects and tradeshows.
? Assist in office events (lunches, company events, birthday cakes, etc).
? Other duties assigned.
Qualifications:
? Minimum 2 years experience.
? Bi-lingual (Mandarin/English).
? AA/BA degree preferred.
? Proficient in Word, Excel, PowerPoint and Outlook.
? Excellent customer service skills. Ability to communicate information and ideas clearly, concisely and on a professional level.
? Results oriented, organized, highly motivated and detailed.
