The client I represent is a large, international and one of the best balanced turnkey contractors in the oil & gas industry.
They have a strong bias towards oil and gas related activities in remote areas and deepwater and is a leader in the provision of engineering, procurement, project management and construction services with distinctive capabilities in the design and the execution of large-scale offshore and onshore projects, and technological competencies such as gas monetization and heavy oil exploitation.
They urgently require a Document Controller to join their team in Aberdeen. The position is to analyse, organise and manage Document Management processes and activities, controlling and monitoring related tasks, thus assuring Corporate methodology and procedures maintenance and compliance across the group. Interface with other project team members about document management matters, ensuring knowledge transfer and the preservation of Document Management matters across the group.

Responsibilities:
• Ensure proper document control support is given to each project delegated by the Document Control Supervisor.
• Operate the Document Control Procedures in line with the Company’s Integrated Management System.
• Prepare and update Document Control Procedures in line with the Company’s Integrated Management System.
• Generate and maintain each project MDR (Master Document Registration) ensuring daily update.
• Produce and maintain Document Progress Reports to Project Managers.
• Work in strict co-operation with the Planning Engineer to ensure project progress status integration.
• Ensure all documentation provided is as per Client quality requirements.
• Create Document Control and correspondence folders for individual projects.
• Register all incoming project documents.
• Issue Document Review Register with document details and distribute with document for review.
• Issue all DCNs (Document Change Numbers).
• Liaise with the Drawing Office to ensure all drawings are printed, stamped, copied and filed.
• Receive, stamp and file all Engineering Change Notice Forms form the Drawing Office.
• Maintain FTP site for assigned project documentation – uploading and downloading documents / drawings.
• Register all incoming project drawings.
• Ensure all documents and drawings are provided with transmittals where appropriate.
• Ensure all templates used with the department conform to the Company standard.
• Ad hoc duties as required to assist the project team.
• Conduct all activities within the Integrated Management System Policy, Procedures and Work Instructions.

Senior Document Controller

Role: Senior Document Controller
Location: Aberdeen
Type: Contract
Duration: Long term
Rate: £Negotiable

Job purpose:
Required to assist in managing the daily performance and operation of Document Management Centre on ongoing project. This includes all DM activities required to meet the needs of the onshore and offshore operations within both the client's organisation and the Client.

Role and Responsibilities:
- To process both design and vendor documents in accordance with corporate or project procedures
- To process all documentation received in DM in accordance with prescribed matrices within agreed timescales.
- To allocate and control the numbering of documents and drawings produced on the project
- To accurately update information in both Client & the Client's electronic document management systems
- To perform supervisory duties, resolve procedural issues, assign work to more junior staff (as applicable) to achieve targets/milestones
- To assist in completing requests, searches and queries for any project personnel.
- Liaise with engineers, clients, suppliers or third party companies as required to complete DM function on project

Knowledge, Skills and Experience:
- Educated to Standard Grade level (pref to include Technical/Engineering, English, Science, Maths)
- Information Management or Librarian or Computer qualifications (desirable)
- Experienced in working in an engineering project group or document management centre
- Capable of processing both Design & Vendor project documents
- Experienced in use of electronic document management systems
- Good understanding of working to procedures and project deadlines
- Supervisory skills
- Good understanding of electronic file production/formats

Job Purpose:
To manage the daily performance and operation required to run Document Management Centre. This includes all DM activities required to meet the needs of the onshore and offshore operations within the client's organisation and the Client.

Role & Responsibilities:
- To set up and manage a team to deliver DM support to a project
- To ensure the DM team achieves the agreed targets and milestones on the project
- To perform all supervisory and administration duties required to run the Document Management Centre
- To maintain and audit the DM team performance against the agreed Service Level Agreement on the project.
- Ensure that a comprehensive set of DM procedures and work instructions are developed and maintained
- Facilitate meetings relating to the operational interfaces of DM
- Manage a co-ordinated approach to resolving procedural issues in a timely manner.
- Manage co-ordinating a complete and timely project close-out / handover activities

Knowledge, Skills and Requirements:
- Educated to HNC Engineering or Science subject or equivalent
- Higher Grade Level qualifications (pref to include Technical / Engineering, English, Science, Maths)
- Information Management or Librarian or Computer qualifications

Document Controller

Our client, a large firm of consultants working in the Oil, Gas and Petrochemical sectors has recently been awarded a long term contract to provide Project Services and Contracts and Procurement Professionals globally to a major International Oil Company. They are currently seeking a Document Controller to join them in Aberdeen - on either a permanent (salaried or contract basis)
Responsibilities:- Deliver project document control against project procedures for internal and external design and vendor documents, and project correspondence Comply with the Company Records Management for Controlled and not Controlled documents. Project filing and archiving and handover preparation. Paper and electronic document flow within project team, and from/to contractors or vendors. Support the use of document "team working areas" for uncontrolled documents and informal sharing. Maintain the Doc Control System and Electronic Document Management System (EDMS). Prepare document performance reports (status, progress and forecast). Support to offshore document control contractors (e.g. bulk loading, document reclassification, etc.). Skills / Experience Required:- Minimum of 2 years industry experience as Document Controller with knowledge of document control processes and systems , with exposure in an engineering/project environment. Oil and Gas experienced preferred although people from power or construction will be considered. Knowledge of discipline approval processes within project teams. Awareness of Records Management principles and implementation methods. Excellent written and oral communications.

This is a fantastic opportunity to work with a leading Oil and Gas operator. As the Senior Document Controller you'll be responsible for the provision of a robust and effective Document Control service.


Your responsibilities will include but will not be limited to the following activities:


- Oversee all aspects of day-to-day Document Control activities, ensuring requests and queries are processed and closed out in a timely and satisfactory manner, and that a professional and quality Document Control service is provided to the Business.
- Provide guidance and mentoring to Document Control personnel in all aspects of the Document Control function. Where required, prioritise Document Control activities to meet business requirements.
-Identify potential Document Control-related areas of concern and seek resolution in a timely manner.
-Assist in the proposal and implementation of new Document Control-related processes and enhancements.
-Maintain full understanding of document numbering and revision coding and proactively promote the standardised and consistent numbering of Engineering (Design and Vendor) documentation.
-Responsible for the accurate allocation of Engineering numbering in accordance with IS-PRO-425, Engineering Numbering Systems Procedure.
-Oversee and ensure all on and offshore controlled copy drawing and procedure audits are scheduled, undertaken and documented in a timely and effective manner in accordance with IS-PRO-404, Audit of Safety Critical Drawings and Documents Procedure.
-Identify and conduct documentation-related rationalisation projects, as required.
-Proactively promote and ensure Document Control processes and procedures are understood and are complied with by users.
-Develop and maintain collaborative working relationship with Engineering Contractor Document Control and Draughting personnel.
-Undertake regular QC checks of Documentum Engineering records to ensure these reflect accurate attribute and current document status.
-Prepare and issue 'Engineering Contractor Weekly Status Report - Documentation'.


The ideal candidate will have experience in a similar position, having worked as a Senior Document Controller for an operator previously. Ideally you'll have experience in document control activities for FEED, Detailed Design, Construction, Commissioning and Operations. You'll have EDMS experience and will have documentum / webtop experience.
