Job Description

Department: Operations Reports To: Director, Operations

Location: Newport Beach, CA

POSITION SUMMARY: Perform daily administrative functions to support all areas of the operations team including incentive application process, field operations, inventory tracking and support.

Duties & Responsibilities:
1. Run periodic reports for management including status reports for incentives, installations, new opportunities, support performance, etc.
2. Verify newly closed opportunities have all needed documentation to initiate the incentive application process.
3. Build information in Salesforce for general site information, incentive details, equipment details, survey, installation and testing details.
4. Complete all required incentive application documents and prepare overall incentive package for appropriate utility.
5. Coordinate and participate in various meetings with utility companies and third party companies.
6. Track and report on progress of all incentive applications.
7. Contact customer sites to coordinate surveys, installations, maintenance visits and testing.
8. Answer incoming office calls and perform duties related similar to a receptionist.
9. Order office supplies, book conference rooms, help in preparation and setup of all operations functions, meetings, etc.
10. Assist in creation, modification and maintenance of operations related processes.
11. Process items for shipping via USPS, UPS, Fedex, etc and perform proof of delivery follow up.
12. Assist with any needed travel bookings of hotel, flight, car for operations personnel.
13. Prepare expense reports for traveling operations personnel.
14. Be available to work required overtime as scheduled.

Education, Experience, Skills and Abilities:
Technical skills:
1. Computer literate; proficient in use of Microsoft Office (Word/Excel/Outlook).
2. Working knowledge of Salesforce, Visio and Sharepoint a plus.
3. Familiarity working with utility companies a plus.

Performance skills:
1. Excellent communication skills, both written and verbal.
2. Self-starter with exceptional telephone etiquette.
3. Able to communicate well with customers and co-workers.
4. Excellent analytical thinking and problem solving skills.
5. Ability to organize and prioritize work.

Education:
1. Associates Degree in Business Administration a plus.
2. Minimum 2 years experience in an administrative or operations environment.

4. Ability to lift up to 25 lbs.
5. Reaching above shoulders.

The position is very diverse. It follows the patient from start to finish. Then, it requires that you assess what the patients needs are and express them in writing. The candidate must have strong front and back office organization skills, experience in web writing, and passion for beauty/plastic surgery. This position has unique requirements and will require on the job training to learn the common cosmetic surgery procedures. Job Description:
1) Manage cosmetic surgery patients throughout their entire surgical journey.
This includes all aspects of patient care and office management. You must have a keen eye for beauty and a passion for patient happiness. You must exude confidence and attention to detail to become virtual extension of plastic surgeon.

2) Assist in local anesthesia cosmetic surgery procedures. This involves hands-on participation, dealing with blood and sterilizing instruments. You must have the ability to recognize what needs to be done and make sure it gets done. This means doing whatever it takes to make sure things are moving safely, efficiently, and with visible professionalism.

3) Write web articles. This is the area that separates this position from virtually all others. Two thirds of this position is medical. The other one third is taking the experiences learned in the medical portion and putting them into interesting articles/blogs/social media/marketing material/etc. For this reason, strong writing skills are a must. Experience in web writing, blogging, or other forms of journalism is required. You must be computer savvy and adapt at writing related software such as Microsoft office and photo management software.

4) Must be creative and think BIG with friendly personality.

Pay structure
The creative portion of this position allows pay rates to be higher than normal nursing rates. The pay structure is set up to maximize your creativity and nursing capabilities. Unlike other nursing positions, the pay can increase significantly depending on the value you bring.
Initial salary is $80-90k per year. Transition to $100-120+k per year will occur depending on your ability, experience, and energy. If your social media skills are remarkable, you may be offered ownership in the social media aspect of the business and/or further pay raises/bonuses.
